Who Microsoft 365 Copilot training is for
Teams that already run on Microsoft 365 — Outlook, Teams, SharePoint, Word and Excel — and want Copilot to pay for itself instead of becoming another unused license. Copilot is a paid add-on to Business Standard and Business Premium, so the session is built around the people who hold a license and the admin who assigned it.

Licensing, briefly: Microsoft sells Copilot for business as an add-on. Microsoft’s published list price for Microsoft 365 Copilot Business in 2026 is $21 per user per month on an annual subscription, with bundles that fold it into Business Standard or Premium; the enterprise add-on is priced separately. Check microsoft.com for the current price before you budget — it has moved more than once this year. The free Copilot Chat that comes with Microsoft 365 answers from the web; only the paid license works across your own mail, files and meetings, which is what this workshop is about.

What the 2–3 hour session covers, by role
Everyone learns the same three things — how Copilot decides what it can see, how to write a prompt it can act on, and how to check the answer. Then each role works on its own tasks, in its own apps, on its own laptop.
| Role | Copilot workflows we practice |
|---|---|
| Everyone | Copilot Chat with work grounding vs web grounding, the prompt structure (goal, context, source, format), checking output against the source, what never goes in |
| Sales and client teams | Outlook thread summaries and reply drafts in your tone, meeting prep from email history, first-draft proposals in Word from a brief and a past example |
| Operations and admin | Teams meeting recap with decisions and owners, turning notes into SOPs in Word, Excel cleanup and formulas described in plain English |
| Finance | Explaining variances from a worksheet, summarizing contracts, formula help — with explicit rules on which numbers and files stay out |
| Leadership | PowerPoint from a Word document, board and strategy memos, and the governance decisions only owners make: labels, who gets a license, what needs human review |
| IT or the person who is IT | License assignment, SharePoint and OneDrive oversharing audit, sensitivity labels, Teams transcription, Copilot settings and usage reports in the admin center |
Prompts that work in Copilot
Copilot does best when you name the source. “Summarize this” is vague; “using the last five emails from this client and the attached SOW, list open commitments with dates” is a task.
GOAL Prepare me for this week.
SOURCE My inbox since Friday and my calendar for this week.
TASK List emails that need a reply from me, grouped by meeting
they relate to. Flag anything with a deadline before Thursday.
FORMAT A table: sender, topic, deadline, suggested one-line reply.
RULES Don't draft replies yet. Say "none found" if a group is empty.
Every entry in your prompt library is written once: it names the app, the source Copilot should use, what good output looks like and the rules, and it is tested on a few real inputs before anyone relies on it. The library lives where the team already works — a Teams channel or a shared OneNote — and grows from the workshop onward.
What not to paste in, even inside your own tenant
Copilot stays inside your Microsoft 365 tenant, which removes the biggest risk of consumer chatbots. It does not remove the need for rules.
- Data from outside the tenanta client’s files or personal data you were sent, not given
- Passwords, keys, card numbersnever, in any tool
- Other people’s confidential filesif you can open it by accident, don’t prompt on it
- Anything under a “Highly confidential” labelunless the policy says that role may
- Personal Copilot or ChatGPT accounts for workbusiness accounts only
- Output nobody checkedCopilot summarizes; a human signs
These rules become part of your written AI acceptable-use policy, which we draft as part of a full rollout. Start with the free AI acceptable use policy template, and if staff are already using personal AI accounts, our note on shadow IT in small business explains how to bring that into the open without a fight.
Admin prerequisites: get these right before the first prompt
Copilot inherits each user’s permissions. In a tenant where a folder was shared with “Everyone” three years ago, that means Copilot will cheerfully summarize it. The checklist below is what we ask your admin to confirm before the workshop — and what we walk through together if nobody owns it yet.
- Licenses assigned to every attendee’s work account, at least 48 hours before the session, and sign-in tested on the laptop they will bring.
- SharePoint and OneDrive oversharing audit. Find sites and folders shared with “Everyone” or “Everyone except external users”, and old project libraries holding HR, finance or client files, and restrict them.
- Sensitivity labels in Microsoft Purview for at least your most sensitive categories (“Confidential”, “Highly confidential”), applied to the files that matter most, so Copilot respects them.
- Teams transcription enabled in the meeting policy, otherwise meeting recap — usually the first win — has nothing to work from.
- Copilot settings reviewed in the Microsoft 365 admin center, including web grounding and any plug-ins or agents you want on or off.
- An AI acceptable-use policy, even a one-page interim version, so the rules in the room match the rules on paper.
- A pilot group and a measure. Three to five people, two or three use cases, and one number you will watch in the usage reports for 90 days.
If your tenant has never had a permissions review, that work is usually a half day and belongs before the workshop, not after. We can scope it with you as part of an IT strategy engagement or point your existing IT provider at the right reports.
Sample agenda for a Copilot workshop
A typical 2 hour 45 minute session for one role group of up to about 15 people. Roughly two thirds of the time is people working on their own tasks; we adjust the app blocks to the group.
| Time | Block | What happens |
|---|---|---|
| 0:00 | What Copilot can and can’t see | How permissions and labels shape every answer; work grounding vs web grounding; the three rules |
| 0:15 | Copilot Chat and the prompt structure | Goal, context, source, format. Your turn: everyone runs the same prompt on their own mailbox, in their own account, and compares results |
| 0:45 | Outlook and Teams | Thread summaries, reply drafts, meeting prep, meeting recap with owners and decisions. Your turn on real threads from the last week; the first answer is a draft you improve by saying what to change |
| 1:15 | Break | Ten minutes |
| 1:25 | Word, Excel, PowerPoint by role | Each person brings one real task collected before the session: a proposal, a messy worksheet, a deck that needs building from a document |
| 2:10 | Check before you send | Names, dates and numbers match the source, nothing added that isn’t there; what not to paste, what a label does, when a human must sign; walking through your policy together |
| 2:30 | Saved instructions and next steps | The prompts that worked are written up once as saved instructions in the shared library, to be tested before they are trusted; certificates of completion; the 90-day measure |
Illustrative example. The final agenda is agreed with you after we collect real tasks from the group.
What your team leaves with
- Saved instructionsfor the tasks each person practised, tested on real inputs
- A shared prompt libraryin Teams or OneNote, with owners and one current version
- Rules everyone understandswhat Copilot may and may not touch
- A cleaner tenantoversharing found and fixed, labels applied
- A pilot measureone number to watch in usage reports
- Certificates of completionfor every attendee
We don’t promise hours saved. Before the session we agree on one workflow you will watch in the usage reports — meeting recaps, proposal drafts, inbox triage — and we check back a few weeks after it to see what people actually kept using.
Price, timeline and Illinois funding
A single Copilot workshop for up to about 15 people typically starts from about $2,500. A rollout across several role groups, with the acceptable-use policy and prompt library, typically takes 1–4 weeks and is quoted in writing. Timelines are estimates and subject to change based on scope.
| Engagement | Typical timeline | Typical price |
|---|---|---|
| Copilot workshop, one role group (up to ~15 people) | 2–3 hours | From about $2,500 |
| Team rollout (several workshops, policy, prompt library) | 1–4 weeks | Quoted in writing |
| Follow-up session | A few weeks later, usually online | Included in a rollout |
Typical prices, not quotes. Every engagement gets a written scope and quote before work starts. Copilot licenses are bought from Microsoft or your reseller and are not included.
ETIP: Illinois may reimburse up to half
The Illinois Employer Training Investment Program (ETIP), funded by DCEO and administered in Chicagoland by the Chicagoland Chamber of Commerce, reimburses up to 50% of eligible training costs for Illinois-based full-time employees. It requires a physical Illinois location, at least two trainees, a pre-approval request submitted before the training starts, and — for workshops — a certificate of completion, which we issue to every attendee. Funds are first come, first served. FAQ
Copilot training questions, answered.
Do we need Copilot licenses before the workshop?
Yes. Attendees need a Microsoft 365 Copilot license assigned to their work account and a laptop they can sign in from; without a license they can only watch. If you are not ready to license everyone, we run the session for a pilot group of three to five licensed users first and expand from there.
How much does Microsoft 365 Copilot itself cost?
Copilot for business is a paid add-on to Microsoft 365 Business plans. Microsoft's published list price for Microsoft 365 Copilot Business in 2026 is $21 per user per month on an annual subscription, with bundles that include Business Standard or Business Premium; check microsoft.com for the current price and any promotion before budgeting. The workshop itself typically starts from about $2,500 for up to about 15 people.
Is Microsoft 365 Copilot safe for client data?
Copilot works inside your own Microsoft 365 tenant and only shows a user content that user can already open, and Microsoft states that business prompts and responses are not used to train its foundation models. The practical risk is oversharing: files that were technically accessible to everyone all along suddenly become easy to find. That is why the session includes a SharePoint permissions and sensitivity-label check before anyone types a prompt.
Can you run Copilot training on-site in Chicago?
Yes. We run the workshop on-site across Chicago and the North Shore, or live online over Teams for remote and hybrid teams. In person works best for a first session because people work on their own laptops and ask the questions they would not type into a chat.
Do you issue a certificate of completion?
Yes. Every attendee receives a certificate of completion naming the session, date and hours. That matters for Illinois ETIP reimbursement, which excludes workshops and seminars unless a certificate is issued.
What if part of our team uses Google Workspace instead?
We run the same workshop for Google Workspace teams on Gemini, covering Gmail, Docs, Sheets and Meet. Mixed teams usually get one session per platform, with a shared prompt library and one acceptable-use policy that covers both.
